A small business team reviewing work processes around a table

AI automation for businesses in Palma

I take off your team's plate the work that repeats every week: copying data, answering the same questions, preparing documents from scratch. I come to your business, look at how you work, and we start with a single automation that can be measured.

What a small business can automate today

When I sit down with a team in Palma, the same tasks almost always come up. They are not the most visible ones, but they are the ones that eat the mornings. Today's AI does them well, as long as someone checks the important parts and the process is clearly defined before anything is touched.

  • Email and repeated enquiries. Sorting what comes in, answering the usual questions with your real data, and passing to a person anything that is not clear.
  • Quotes. Going from a call or an email to a quote built with your rates, ready to review and send.
  • Invoices and expenses. Reading the invoices that arrive by email, extracting the data and leaving them in your management software so someone only has to approve them.
  • Appointments and reminders. Diary, confirmations and alerts without anyone having to watch the phone.
  • Reports. A monthly summary of sales, payments and hours that builds itself and reaches you at the start of each month.

How I work: diagnosis, pilot, and only then expand

The most expensive mistake I see is buying tools before knowing what problem they solve. That is why I always work in the same order. First a diagnosis: I talk to the people who do the work and note who does what, with which software and how long it takes. From that comes a report on what is worth automating and what is not.

Then we choose a single automation, the one with the most impact for the least effort, and build it with real data. We measure the time before and after. If it works, we roll it out to the whole team, document it in plain language and run a hands-on session with the people who will use it. From first contact to the first automation running usually takes about six weeks.

With the tools you already have

Most of the small businesses I start with have Google Workspace or Microsoft 365 and some management or invoicing software. That is enough to begin. There is no need to change software or build a new system: the automation connects to what you already use.

Licences are taken out in your company's name and the access is yours from day one. If one day you stop working with me, nothing switches off. And when something needs custom development, the Teix Web Studio team, the studio I run in Palma, builds it and I coordinate it.

How to tell whether it pays off for your business

The sum is simple: the hours that go into a task each week, multiplied by the cost of an hour, compared with what it costs to build and maintain the automation. If one person spends five hours a week on something that can largely be automated, that is more than two hundred hours a year. That is the conversation we have in the diagnosis, with your numbers and not with averages.

There are cases where it does not pay off: processes that change every week, very small volumes, or tasks where a person's judgement is exactly what adds value. If that is your case, I will tell you in the report and we stop there.

In Palma, I come to your business

I do not receive people in an office. In Palma and the rest of Mallorca I run the diagnosis session at your business, because that is where you can really see how people work. Follow-up sessions can be in person or by video call, whichever suits you better. Outside the island I work by video call.

Questions

What people usually ask

What kind of businesses do you automate?

Small businesses of up to about thirty people: shops, accountancy and administrative firms, hotels, restaurants, real estate agencies, clinics, construction companies. What changes is the process, not the size of the logo.

Do I have to change my management software?

No. The automation connects to what you already use. I only suggest changing something if your current software gives no way at all to get the data out, and I explain that before anything happens.

How long until it is up and running?

From first contact to the first automation running is usually about six weeks: one for the diagnosis, around three for a pilot with real data, and one or two for going live and training.

What happens if the automation gets something wrong?

That is why it is designed with a human review point on the important parts and measured during the pilot. Anything unclear goes to a person instead of going out on its own.

Is there a lock-in period?

No. The monthly support runs month to month and you cancel by letting me know before the next one starts.

How much does it cost?

It depends on the process and how much development it needs. After the diagnosis you get the figures in writing, with scope and timings, before you commit to anything.
